5 Reasons Mailbird Is My Go-To for Managing Multiple Email Accounts

Despite using online mail clients and native email applications, Mailbird is my go-to option for keeping everything under control. Managing multiple email accounts can be a hassle, but Mailbird turns chaos into simplicity.

I can quickly delete unnecessary emails

Inbox zero it’s one of the most effective ways to keep me from feeling overwhelmed, but I’ve never been a big fan of doing this in native email client applications. Instead of clicking on buttons, Mailbird is, in my opinion, more intuitive. All I have to do is hit the backspace key on my computer, and the message is automatically sent to the Trash folder.

This is significantly more effective than my previous methods, which usually involve one of the following:

• Marked all messages as read and then going to delete all unnecessary mail.

• Click on emails to prevent them from appearing in my unread folder (but still keep them in my inbox).

• By manually going through and ticking or hitting the trash can icon next to each email you don’t want to keep.

My inbox has gotten a lot more organized since moving Mailbirdand as a result, I can reach everything with more ease.

Mailbird offers a bunch of useful features that helped me customize the left toolbar. As a result, I can access my emails more efficiently. U Custom avatar tool is one of those. To differentiate my inboxes, I chose a suitable icon for each of my connected inboxes. For example, my personal address has an icon with a cat sitting on a couch; this is to symbolize being at home.

On the other hand, my work email address has a chart nearby. I chose the chart to signal growth and because it was immediately recognizable. You can choose 30 icons in total.

I also like how Mailbird lets me choose the folders I want to appear on the left side. In addition to choosing between the most important messages and different labels, I can also create custom folders for each inbox if necessary; These are also accessible by extending the left toolbar.

To edit these settings, you can click on the settings icon. I can also select Manage folders to organize folders specifically.

Synchronize calendars for seamless planning

Context switching is my biggest productivity killer, and because of that, I like to keep as many tools in one place as possible. And while I rarely use the Gmail web client now, I still wanted to keep my calendar in the same place as my emails. Fortunately, I can sync my calendars and see them in the app.

I like how I can access many Google Calendar features that increase productivity without leaving the Mailbird app. I can not only see future events, but also create new ones. If I want to add extra calendars, I also have the option to do that in the app.

Use Google Calendar Add-Ons in Mailbird

Another interesting feature is the ability to integrate numerous apps into Google Calendar and access them via Mailbird. For example, I have Keep, Tasks, and Maps. Other useful tools you can add if you want are Zoom and Streak.

How to add Google Calendar to Mailbird

To integrate Google Calendar with Mailbird, all you had to do was follow these steps.

1. Go to the Browse applications icon at the top of the Mailbird interface.

2. Toggle Google Calendar on

3. Sign in to Google Calendar on the right hand side.

4. Check the boxes next to each calendar you want to see.

5. Click on the Google Calendar icon at the top of the app to open it in full-screen mode.

You can access Google Calendar regardless of which email tab you are currently in. At first, the app can only be seen on the right side. I do not recommend using this view because it is too congested. If this happens, try again by clicking on the top Google Calendar icon; it should now consume most of your screen.

Although Mailbird integrates with Google Calendar, it is not possible to use Outlook Calendar or the Apple equivalent with the app.

It’s easy to integrate my favorite apps with Mailbird

Further aiding my battle against context switching is the ability to add and access a few more of my favorite tools in Mailbird. Below are two examples of main use cases; like Google Calendar, you need to activate these apps and then sign in to your account.

1. Todoist

When using Todoist in Mailbird, I can search and customize many templates. These cover the same things you’ll find when using the Todoist site/app, such as annual reviews, managing your finances, and starting a side hustle. 2. ChatGPT

I use ChatGPT every day to plan my work life, create new daily schedules, optimize my gym workouts and much more. In addition to the basic chat mode, you can use multiple custom GPTs to get more accurate answers.

After signing into ChatGPT through Mailbird, I can access essential features (eg start a conversation). Everything syncs automatically, allowing for a smoother workflow. Using ChatGPT in Mailbird is particularly useful if you need help creating an email reply or want to search for something without going to your browser.

I can Streamline Emails into a Unified Inbox

Instead of manually signing into each email account via my browser, I use Mailbird to manage my emails through their unified inbox. I can quickly delete emails that I don’t want to take further action on and star anything that requires my attention later. Doing this has saved me over an hour every week since I started.

Knowing which email account each message belongs to can be confusing at first, but you’ll quickly figure it all out. Also, when you open a message, you will see the associated account.

I haven’t seen a better way to manage multiple email addresses than Mailbird, and I’m so glad I switched. I can organize my work and personal emails from the same place, and it integrates with many of my favorite apps. I was able to significantly reduce context switching and multitasking, which resulted in better productivity.
